Job Roles & Responsibilities:
Responsible for the overall management of the mobility process for assignees.
Responsible for coordinating the movement of corporate assignees and their belongings when they move to a new home or city. Work with assignees, Human Resources, vendors, and other professionals to ensure that everything goes smoothly during the relocation process.
May also be responsible for managing the day-to-day operations of the assignees’ moving services. This could include scheduling movers, ensuring that they have the proper equipment and supplies, and making sure that they adhere to all safety regulations while on the job.
Act as the main point of contact for administering and delivery of relocation and referral services to assignees and their families
Proactively maintain regular contact and respond to email and phone queries from assignees, Human Resources, managers, vendors, etc.
Proactively communicate with assignees and stakeholders with a focus on customer service
Conduct a thorough needs assessment at the onset of the process to establish the client’s specific requirements and any special needs
Serve as key agent liaison for service and operational delivery of referrals
Place referrals with an agent or outside broker and ensure customer contact is made in a timely manner.
Request and track updates for referrals on an ongoing basis
Act as a liaison between agent and referral source and assists with problem solving issues that may arise
Provide information regarding the company’s assignment policies
Complete detailed data entry, including billing and client-specific reporting
Help assignees settle into their new locations by providing information on schools, utilities providers, shopping areas, and other important details about the new community
May coordinate third parties, such as leasing agents or moving companies, to ensure that all aspects of the move are completed successfully
Facilitate expense reimbursements to the transferee and payments to service partners
Escalate issues as appropriate to ensure on-going customer satisfaction
Maintain file in a timely and accurate manner in the tracking system including updating actions, document uploads, and important notes for each assignment
Participate in assignment reviews, policy discussions, and new client implementations
Recommend program improvements
Perform additional responsibilities as requested or assigned
Job Skills & Requirements:
Japanese proficiency helpful and preferred
2+ years of experience working in-house relocation department and/or relocation management company
Strong work ethic with off-hours flexibility and must be able to work outside customary business hours to support US time zones
Must be highly customer service oriented
Ability to work in a high volume
Able to work with many different teams, including Human Resources, assignees, managers, and vendors to facilitate assignments
Independent worker and strong decision-making skills
Excellent communication skills, both verbal and written
Excellent interpersonal skills and able to communicate with many different people, including assignees, managers, and vendors.
Must have excellent organizational skills and able to keep track of important documents and information about the assignment
Strong time management skills to prioritize tasks and complete tasks in a timely manner
Strong attention to detail, accuracy, and ability to follow data entry/department standards
Ability to respond resourcefully and constructively to new demands, priorities, and challenges
