EXPECTED PAY RANGE: $53,665 - $73,789

This pay range is for the position's base salary only. This position may be eligible for other compensation including incentive pay and/or allowances. Candidates will receive additional information during the interview and selection process.

POSITION SUMMARY

The GA Specialist Position supports all operational activities related to the General Affairs function. This may include building and facilities’ needs, may provide backup for administering cell phones, and other general affairs requirements as needed.  This position serves as the assistant contact to GA management on all General Affairs’ matters related to their assigned location(s).  Depending on the assigned location(s) of the GA Specialist, the primary function and time spent on each job function may vary

PRIMARY RESPONSIBILITIES

Facilities:

  • Ensure the timely maintenance of all office building operations and systems, including coordination of maintenance work and janitorial services.
  • Coordinate facility modifications as needed.
  • Administer, maintain, and follow facilities procedures as needed.
  • Manage third-party onsite security personnel at assigned location(s), including administration of access security badges.
  • Facilitate and oversee emergency repairs, including outside of normal business hours.
  • Respond to alarms as needed.
  • Oversee the work of outside contractors at the property to ensure compliance with contractual agreements, codes, and safety considerations. 
  • Participate in life, fire, safety communication and procedures.
  • Communicate with business groups as needed to ensure their facilities needs are being met. 
  • Coordinate with EHS (Environmental Health & Safety) and HR as needed to ensure safety needs are being met.

Administer and assist with company programs:

  • Corporate leased vehicles – Communicate policies and procedures, answer employee questions, and manage deployment.  Respond to employee fleet vehicle accidents.
  • Corporate cell phones – modify and communicate policies and procedures, answer employee questions, and advise management as needed.

Other - General:

  • Identify and suggest improvement opportunities to drive efficiencies and cost-savings.
  • Work with third party vendors/suppliers (such as janitors and security officers) to ensure compliance with related laws/regulations.
  • Coordinate with HTA (Hitachi High-Tech America, Inc.) EHS department and building management regarding safety requirements, including safety inspections, fire extinguisher and AED (Automated External Defibrillator) inspections, and general workplace safety practices.
  • Ensure the timely maintenance of all office building systems and operations, including coordination of building maintenance and repair work (HVAC, plumbing, etc.) by escorting and managing third-party contractors and vendors.
  • Facilitate and oversee daily emergency repairs and maintenance as needed, reporting to the GA Manager.
  • Perform minor repairs and maintenance as needed (i.e.: changing light bulbs, cleaning coffee & espresso brewers, etc.) in addition to coordinating meeting and event setups.
  • Ability to travel daily (as needed) between three company locations in Hillsboro (4-to 6-mile distance roundtrip); personal vehicle required.  (Mileage reimbursement will be provided.)
  • Performs other duties as assigned.  Works overtime as required.

EDUCATION, LICENSES, AND/OR CERTIFICATION REQUIREMENTS

  • Associate degree (or 4-5 years of related job experience) or IFMA (International Facility Management Association) credential designation (preferred but not required)

EXPERIENCE AND TRAVEL REQUIREMENTS

  • Minimum of 2 years facility and/or building operations experience.
  • Experience with BAS (Building Automation Systems), to include HVAC and lighting controls preferred.

SKILLS AND ABILITIES REQUIREMENTS

  • Strong customer service skills.
  • Ability to perform work accurately with thorough attention to detail.
  • Excellent verbal/written communication and time management skills.
  • Organization - ability to maintain proper files/records and the ability to prioritize tasks and work.
  • Ability to work independently and with little supervision.
  • Maintains confidentiality and integrity.
  • Computer Skills: Proficiency in MS Office (Word, Excel, Outlook) required.
