Executive Office Administrator/Administrative Assistant

General information:

Hitachi Energy is seeking an Executive Office Administrator/Administrative Assistant for its Raleigh, NC location. This role provides a fantastic opportunity for a highly organized team player who can effectively balance a wide range of responsibilities for our Raleigh office and beyond. This role will support senior leadership in Communications and Human Resources, as well as the Senior Executive Assistant to the Executive VP and Head of North America for various events and activities.  

The successful candidate will have outstanding professional communication skills, be proactive, strong collaborator and team player. This position is positive mix of being in the office in the office 3 days a week while having the flexibility to work from home 2 days a week. 

Responsibilities include:

Communications & Marketing:

  • Assist with organizing employee events, partnering closely with the Raleigh office Employee Engagement Manager
  • Coordinate various aspects of external/internal events such as hotel bookings, registration, etc.
  • Maintain tracking of branded merchandise inventory including ordering, stocking, and responding to inquiries for obtaining company-branded materials.
  • Assist with calendar management and meeting planning for large groups of internal/external stakeholders

Human Resources:

  • Work with highly confidential information for accuracy, analysis, and correction of data through excel formulas and pivot tables.
  • Follow up on employee escalated HR issues for resolution.
  • Support of the Onboarding Team efforts.

Senior Executive Assistant Support:

  • External/internal event support such as tracking of invitee responses, menu management, creation of badges, etc.
  • Travel arrangements for attendees of internal and external leadership events inclusive of international visitors. This includes travel document support, air travel, car service needs, etc.
  • Coordination for local events such as Executive VP pizza lunches.

Office Coordination:

  • Support of meetings with logistics and catering for various functional teams as needed.  
  • Maintaining readiness of conference rooms
  • Ordering of office supplies for the executive office area.
  • Ordering of computers, cell phones, and system access for onboarding new employees.
  • Creation of Purchase Orders and tracking of invoice payments.
  • Travel arrangements and filing of expense reports for Communications and HR leaders.
  • Provide systems learning to new leaders.
  • General administrative support, including creating correspondence, problem resolution, etc.
  • Work with internal meeting organizers to provide support for the Customer Experience Center in Raleigh

Qualifications:

  • High School diploma and minimum of 3 years of administrative support.
  • Candidate must already have work authorization that would permit them to work for Hitachi Energy in the United States.
  • Experience in handling confidential information related to both employees and organization strategy.
  • The successful candidate must be a team player able to effectively work and communicate with employees from all functions and all levels within the organization.
  • Ability to manage multiple projects at the same time and support various members of the Hitachi Energy team.
  • Strong acumen of Microsoft Office suite and other software programs. Excel proficiencies including formulas and pivot tables preferred.
  • Highly motivated self-starter with a positive, can-do attitude.
  • Highly organized planner. Sense of urgency and ability to prioritize responsibilities.
