Hitachi Energy, High Voltage Products, is renowned worldwide as a specialist for power transmission and distribution. As a Local Product Group of High Voltage Products, the High Current Systems unit is responsible for the development, sales, manufacturing, and service of generator circuit-breaker systems.
Function: Perform a wide variety of administrative duties of a confidential and sensitive nature (i.e. involving personnel information), in support of executive responsible for GCB and TC areas. Promote and implement measures to improve customer relations. Guide and instruct new support staff.
Your responsibilities
Assist the GCB and TC teams in administrative tasks (i.e. manage centralized stationery, assist the teams in events / business trip organization).
Maintain executive's calendar, exercising judgment and tact in coordinating meetings and making appointments for Company and outside personnel. Prioritize and annotate mail, highlighting and attaching relevant information. As authorized, prepare responses or obtain information for responses from other staff. Establish and maintain confidential executive filing systems, including follow-up files, which permit timely and accurate reference to business matters.
Compose correspondence and release under own signature, as authorized. Produce a variety of documents using various software packages. Manipulate data on spreadsheets and/or database software programs, utilizing new formulae and formats, as applicable.
Prepare and send / Receive and dispatch correspondence, reports and documents.
Provide document and records management, including archiving and scanning of documents.
Planning and implementing projects that impact the entire office and/or specific departments including analyzing and developing office or department budgets.
Implementing corporate programs and requirements at the local office level.
Your background
Administrative assistant training
Previous relevant work experience in administration
Good computer skills (Excel, Word, PowerPoint, Sharepoint),
Sense of priorities and respect of deadlines
Proactive, communicative and flexible
Fluency in German and English (B2/C1)
