Summary:
Hitachi Particle Engineering and Services, Inc. (HPES) is looking for an experienced Document Control Specialist to be responsible for overseeing clerical, procedural and overall coordination of activities related to document control at the HPES office located in Pleasanton, CA. The Document Control Specialist will report directly to the Operation Department Manager and will work closely with members of the engineering, manufacturing, and quality departments to support all document control related needs.
Responsibilities Include But are not limited to:
Responsible for maintenance, organization, and update of controlled documents.
Maintain the Document Control database, log files, and storage of Engineering drawings.
Process Engineering Changes, including document login, tracking, distribution, approval, release, and archiving.
Conduct document control review meetings.
Scan, print, distribute, and upload documents as required.
Assign, enter, and update the Part Numbers and Bill-of-Materials (BOM) in the database.
Assure accuracy of all documents, BOMs, part number assignments, and all entries into the ERP system.
Prepare and set up the "Job folders” for the Manufacturing team.
Review and check all submitted engineering and controlled documents for compliance with company guidelines.
Assist with the maintenance of ISO9001 documents and procedures.
Create, maintain, and update templates and forms as needed.
Compile system manuals and documents for customers.
Perform other Document Control tasks as assigned by the Manager.
Ability to read and understand bills of materials, and engineering drawings at a practical level.
Work with the engineering, manufacturing, and quality assurance department to facilitate communication with document control.
Collaborate with engineering to create documentation for engineering change process.
Assist engineers with correction and submission of necessary documents for engineering, purchasing, and manufacturing activities.
JOB QUALIFICATIONS:
Minimum 4 years of Document control and record management experience in engineering and manufacturing environments.
High School diploma required; bachelor’s or associate degree is beneficial.
Must be detail oriented with technical and problem solving and analytical skills
Commitment to quality and continuous improvement
Ability to quickly learn and utilize new software such as SAP, Jira, Adobe Acrobat, and SharePoint.
Must have effective planning and organizational skills with the ability to work with a high degree of accuracy.
Proficient in the use of personal computers, printers, plotters, and other office machines.
High competency with MS Office Suite (Word, Excel, PowerPoint, Outlook).
Strong communications skills and demonstrated ability to build and maintain positive working relationships with internal customers.
Experience with SAP, Jira, SolidWorks, or ISO9001 is beneficial.

Physical ACTIVITIES REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS:
Lift and carry 10 pounds occasionally. Communicate by speech and hearing continuously. Write by hand and keyboard. Movement within office complex. Communicate by telephone and in person. Visual acuity needed for computer use, and reading of documents, the schematics, and drawings.
MENTAL ACTIVITIES REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS:
Moderate English reading and writing, and math skills. Ability to learn, memorize, and then accurately follow established procedures for routine or recurring tasks. Must be meticulously accurate in maintaining alpha numeric files, and in performing "self-reviews" of his or her own work.

For California only (as required by California’s Pay Transparency for Pay Equity Act (SB 1162): The expected salary for this position in our California office is $48,279 - $55,000. Pay is determined based on a variety of factors including, but not limited to, depth of experience in the practice area. Employees are eligible to participate in Hitachi America’s variable pay program, subject to the program’s conditions and restrictions.
