Office Administrator

Hitachi Particle Engineering and Services, Inc. (HPES) is looking for an experienced Office Administrator to be responsible for overseeing the daily clerical and operational needs of the HPES office located in Pleasanton, CA.  The Office Administrator will report directly to the Operation Department Manager and will work closely with and support all members of the HPES Pleasanton Site. 

Responsibilities include but are not limited to:

  • Coordinate office functions, activities, and operations.

  • Answer, direct, and manage phone calls and other forms of correspondence such as mail, packages, etc.

  • Track office purchases, receipts and invoices, and the office’s overall budget.

  • Monitor office supplies and re-order when necessary.

  • Maintain and update the facility access system, key fobs, and entry codes.

  • Maintain and organize radiation badge distribution among employees and visitors.

  • Welcome and greet visitors and maintain visitor’s log.

  • Maintain and organize general office files, including vendor files, and other files related to the office’s operations.

  • Monitor, schedule, and organize maintenance companies to keep the office clean, safe, and its appliances in working order.

  • Schedule various company meetings and manage the meeting room schedules.

  • Responsible for end-of-day office closing activities.

  • Perform other office administration tasks as assigned by the Manager.

  • Support the AccSys division staff with administrative-related activities as needed.

  • Assist with special projects as required.

  • The daily hours for this position will be 9:30am – 6:00pm.


  • HS diploma or equivalent

  • Minimum 2 years of experience as an office administrator, office assistant or related role

  • Excellent time management and organizational skills.

  • Proficient in the use of personal computers, printers, and other office machines.

  • Proficiency with MS Office Suite (Word, Excel, PowerPoint, Outlook).

  • Strong communication and interpersonal skills to interact positively with all employees and visitors.

Other Job Functions:

  • Performs other duties as assigned or directed.


Lift and carry 20 pounds occasionally.  Communicate by speech and hearing continuously.  Write by hand and keyboard. Movement within office complex.  Communicate by telephone and in person.


Moderate English reading and writing, and math skills. Ability to learn, memorize, and then accurately follow established procedures for routine or recurring tasks.

Job conditions:

Works alone and with others in a general office setting. 

For California only (as required by California’s Pay Transparency for Pay Equity Act (SB 1162): The expected salary for this position in our California office is $45,000 - $50,000. Pay is determined based on a variety of factors including, but not limited to, depth of experience in the practice area. Employees are eligible to participate in Hitachi America’s variable pay program, subject to the program’s conditions and restrictions.
