Summary:

The Employee Services Specialist is responsible for supporting the employee lifecycle, leave administration and payroll support while providing outstanding customer service to our business leaders and employees. This role will be managing the “Hire to Retire” entire Life Cycle Management of Hitachi America Ltd. Region. The ideal candidate is someone who can work with autonomy and discretion and your input will be greatly valued throughout the management. This position will report to Delivery Lead, ELM CSS HR from the Hitachi India office.

Responsibilities:

We’re looking for a team player who wants to learn and grow, who is motivated by delivering great work and the Hitachi vision.    Responsibilities for this position include:

  • Manage New Hire Onboarding:  Initiate process in HRIS (Workday), track the completion of new hire documents, and conduct in person and virtual new hire orientations.

  • Immigration support: handle new hire I-9 verification at time of orientation and employee I-9 reverifications, and audit VISA updates for Payroll.

  • Provide payroll administration support:  enter ad hoc payments, prepare payroll input, manage employee timecard process, and report hours biweekly to payroll.

  • Leave management:  Manage employee leaves from end to end such as  short term disability, family medical leave and paid family leave.  Enter leaves and biweekly payments in Workday. Work closely with the employee and various stakeholders. 

  • Manage the offboarding process for all voluntary and involuntary terminations: send stakeholder notifications, provide exit details to departing employees, calculate vacation payouts, liaison with Facilities and IT for asset returns. Coordinate employee separation package, final pay, and review of benefits status for involuntary terminations.

  • Address employee queries via service now/email as per defined TAT

  • Reports:  Generate and maintain HR-related reports and assist in data analysis as needed.

  • Manage contingent worker lifecycle: onboarding, extensions, offboarding in support with hiring managers. Work with managers to ensure data updates are made on a timely basis.

  • Agreement extensions:  Liaise with managers and talent acquisition for any project employee extensions.

  • Verifications of Employment:  provide written and verbal employment verifications.

  • Compliance and Labor Law Mandates:  Coordinate quarterly updates for active locations, post notices online, ensure adherence to all mandates. and inform communicate info to remote employees.

  • Other:  Coordinate baby blanket and sympathy basket orders for employees.

  • Perform other duties as assigned.

Requirements:

  • Bachelor’s degree in human resources, Business Administration, or a related field and/or equivalent combination of education, training, and experience.

  • 1-3 years HR administrative support experience preferred.

  • Excellent customer service and interpersonal skills.

  • Excellent organizational skills and attention to detail.

  • Basic knowledge of HR practices and employment laws is preferred.

  • Ability to handle sensitive and confidential information with discretion.

  • Proficiency in MS Office Products required (Outlook, Word, and Excel).

  • Human Resource Information Systems (HRIS) experience, Workday preferred.

  • Eagerness to learn and grow in the HR field.

  • PHP or SHRM certification a plus, not required.

For California only (as required by California’s Pay Transparency for Pay Equity Act (SB 1162): The expected salary for this position in our California office  is $68,000-$72,000. Pay is determined based on a variety of factors including, but not limited to, depth of experience in the practice area. Employees are eligible to participate in Hitachi America’s variable pay program, subject to the program’s conditions and restrictions.
