Follow clearly prescribed procedures to provide general assistance to project management staff involved in a variety of project management and related functions. Under specific direction, provide support for such activities as development of proposals and presentations.

Main Accountabilities:

  • Assist Project Managers in day-to-day administration of various projects.  Activities include but are not limited to invoicing; shipping; generating transmittals; producing purchase requisitions/orders; filing (some electronically)
  • Learn and use existing systems to provide information for various aspects of proposal and projects (tax, credit, order tracking)
  • Generate reports as needed (routinely and ad-hoc)
  • Raise to Project Manager’s awareness of any areas behind schedule in the scope to be expedited. 
  • Perform mathematical calculations, organize data, prepare graphics and presentations and assemble data packages, applying own knowledge and experience toward the resolution of problems.
  • Follow established procedures to maintain and update department files including contract data, standards, technical reference files and procurement documents.
  • Requires basic knowledge and understanding of project management activities. Decisions are usually based on established precedents but will have some discretion and judgment.

Knowledge, Skills, Experience:

  • Minimum 2+ years of experience
  • B.S. in Business, Operations or related field
  • Advanced English and Spanish
  • Experienced in SAP
  • Ability to successfully interface with customers, suppliers and internal personnel to resolve project issues of equipment delivery and invoicing.
  • Ability to research terms and conditions to resolve issues and questions
