Key Responsibilities
Financial Administration:
- Administer departmental purchase, payment, and invoice processes, ensuring accuracy and timely execution.
- Develop and input the Corporate Strategy budget into the system.
- Monitor and report on monthly expenses for the Corporate Strategy team, ensuring adherence to budgetary constraints.
- Coordinate agreement, payment, and submission for HQ Entrustment fees.
- Provide administrative support for HQ Entrustment fee-related tasks.
Budget Administration:
- Oversee budgets for Corporate Strategy and Government & External Relations (GER) throughout the fiscal year.
- Address financial issues, including discrepancies in expenses, payments, and accounting matters.
- Prepare and manage reports related to HQ entrustments and coordinate with countries regarding their reports.
Purchase and Payment Coordination:
- Administer monthly purchase/ payment processes and assist with quarterly account closings.
- Support in preparing budget data for budget meetings.
- Handle agreements, payments, and submissions for the Company with the Business Units and the Regional Offices.
Executive Management Committee Meeting (EMCM) Arrangement:
- Coordinate logistics for monthly EMCM meetings.
- Prepare and consolidate agendas and materials.
- Address and resolve urgent issues related to EMCM.
General Administrative Tasks:
- Assist with organizing meetings and managing logistics.
- Oversee fixed asset management and conduct regular audit checks.
- Support business travel arrangements and manage travel logistics.
- Handle arrangements for incoming and outgoing staff.
- Update and maintain the Hitachi Group Company contact list in Kami and Shimo.
- Assist with inquiries from group companies and regional offices.
- Support the General Manager for Corporate Strategy with scheduling and administrative issues.
- Perform additional tasks as assigned.
Qualifications
- Diploma/ bachelor’s degree.
- 3-5 years of similar work experiences.
- Strong in coordination and administration skills.
- Good communication skills, both written and verbal.
- High accuracy and attention to detail.
- Advanced proficiency in MS Office for report preparation and presentations.
- Experience in a multinational or large corporate environment is advantageous.
- Proficiency in Japanese is a plus due to the need for translating information from HQ.
