Summary of the position:

The Parts Coordinator is a key member of our Hitachi Air Center Support Team, responsible for ensuring the availability of necessary parts to support customer needs, internal service operations, and sales efforts. This role involves researching parts requirements, quoting and purchasing parts, managing inventory levels, and maintaining efficient workflows to meet organizational and customer demands.  A high expectation of

Duties and responsibilities:

  • Customer & Internal Support:

    • Act as the primary point of contact for parts-related inquiries from customers, service teams, and sales staff, through incoming phone calls, emails, text messages and in person requests.

    • Collaborate with internal departments to ensure seamless operations and customer satisfaction.

  • Parts Research & Quoting:

    • Conduct detailed research on parts requirements based on customer or internal team specifications.

    • Provide accurate and timely quotes for parts to customers and internal departments.

  • Purchasing & Procurement:

    • Source and purchase parts for customers, service technicians, and sales teams while ensuring cost-effectiveness and quality.

    • Build and maintain relationships with approved vendors to secure favorable terms and timely delivery.

    • Enter parts in system while verifying accurate pricing and quantities, notifying supervisor by email when pricing discrepancies are suspected.

    • Enter part number with correct pricing and quantity to assigned work order provided.

    • Communicate parts order status and anticipated delivery to internal and external customers on all orders placed.

  • Documentation & Reporting:

    • Maintain accurate records of quotes, orders, inventory adjustments, and vendor communications.

    • Generate regular reports on inventory status, purchasing trends, and cost analyses.

  • Inventory Management:

    • Monitor stock levels and replenish inventory based on established minimum/maximum thresholds.

    • If responsible, place stock orders to ensure optimal inventory availability while minimizing excess stock.

  • Operational Efficiency:

    • Assist in identifying opportunities to improve the parts procurement and inventory management processes in coordination with the Warehouse Manager and Director of Inventory and Vendor Management.

    • Ensure compliance with company policies and industry standards in all parts-related activities.

  • Prepare parts orders for invoicing daily as items ship either directly to customer from vendor or from our warehouses.

  • Depending on the needs of our specific company, this position
    may require delivery of received parts to appropriate destination.

Education:

  • High school diploma or equivalent; additional education or certifications in customer service, supply chain, logistics, or a related field is a plus.

Professional experience:

  • Proven experience in parts coordination, purchasing, or inventory management, preferably in a technical or industrial setting.

  • Familiarity with compressed air systems, pumps or blowers and related parts is an advantage.

  • Proficient in using inventory management software and MS Office applications.

  • Strong research, negotiation, and communication skills.

  • Detail-oriented with the ability to multitask and prioritize in a fast-paced environment.

Physical Qualifications

  • This position involves light work with lifting or moving of up to 20 pounds frequently and 50 pounds occasionally.

  • Depending on the specific facility, steel-toed shoes or boots may be required in the warehouse.

  • This position also includes long periods of sitting at a desk using a computer.
