The Opportunity: 

To strengthen our Administration Team, we are looking for an Assistant, who will perform complex administrative activities.  

It is a great opportunity for a highly organized team player who can effectively balance a wide range of responsibilities. This role will support senior leadership positions in the Finance, Procurement & HR Functions, as well as others. The position will work with numerous contacts in Poland and in the global organization.

The successful candidate will have outstanding professional communication skills and bring a proactive approach to the position.

How You'll Make an Impact:

  • Provide everyday administrative support, including purchase order creation, meeting logistics, creating correspondence, problem resolution, etc.
  • Research, compile and issue reports, presentations, organization charts, correspondence, etc.
  • Responsible for different communication tasks within the area of responsibility, ensuring knowledge and information is shared and keeping others up to date.
  • Implement internal processes and initiates continuous improvement of administrative processes and procedures to maximize efficiency and effectiveness.
  • Act as a point of contact for internal/external enquiries by phone and email, initiate action and make judgments about urgency of issues.
  • Provide confidential support to individual executives and/or management team members.
  • Arrange business critical internal/external events, including for example travel arrangements, itineraries, catering, accommodation, conference registration, visiting speakers etc.

Your Background:

  • You have at least 5 years’ experience in Administration, HR or related field, including at least 2 years in corporate 
  • You have higher education, preferably in HR, Administration, or related. 
  • You have very good verbal and written communication skills and customer service orientation 
  • You demonstrate ability to work independently 
  • You are a proficient user of Microsoft 365 tools 
  • You are advanced in Polish language
  • You have intermediate English level (B1, B1+) 
  • You have presentation skills 
  • You are proactive and have analytical skills and attention to detail 
  • You are courageous and effective in action 
  • You are able to prioritize 
  • You have positive approach and stress resistance  
  • You are a team player
