Your new role


We are looking for an Administrator based in our Stoke Gifford Train Maintenance Centre in Bristol. This is a varied role and will involve supporting numerous departments across the site.

Specifically, you will be responsible for the following deliverables:

  • Management of the induction process updating the register, issuing and control of door access passes and the ANPR System

  • Management of document configuration and upkeep for all depot forms and procedures on the e-docs system.

  • Support audits relating to depot administrative processes.

  • Assist with all on-boarding and HR processes initiated by the TMC Manager.

  • Management of meeting rooms, and catering as required.

  • Collating information and compilation of period reports and presentations as required.

  • Attend meetings as required, taking notes and action points from the meeting, typing up notes and distributing as required.

  • Deal with incoming and outgoing post and arranging of couriers as and when needed.

  • Lead and support the receptionist ensuring the following items:

  • Provision of a professional and efficient reception, ensuring visitors are signed in and complete appropriate documentation

  • Issue passes and visitors badges.

  • Answer all incoming calls, transferring calls to relevant people/departments and take messages as appropriate Update internal telephone directory and issue as required.

  • Co-ordinate with the training department to plan training and assessments as required, Maintain competency records of all staff.

  • Ensure all overtime is recorded on the overtime tracker and issued to TMC manager on a monthly basis.

  • Provide SAP support where necessary.

  • Organise and maintain office stationary supplies.

  • Updating of Facilities logbooks for PPM and reactive works to maintain statutory compliance.

  • Administration of Facilities defects and maintenance within SAP.

  • Input of Site Operating Procedures, Purchase Orders and Goods Receipting within SAP.

  • Support local wellbeing and staff welfare improvement initiatives.

  • Assist as required with any other responsibilities that may be required as directed by line manager

About you

Essential Skills

  • Strong administration and organisation experience.

  • Sound knowledge of compliance to, rules and regulations

  • First class telephone manner and the ability to greet all visitors to the depot in a professional and friendly manner.

  • Expert IT skills in Word, Excel, Power Point, Outlook Tools and Diary Management


Qualifications

  • English & Mathematics GCSE level or equivalent
  • Vocational equivalents in administration or business

Behavioural

  • Good written and verbal communication skills
  • Able to represent Hitachi in a professional manner at all times

  • Good team worker
  • Pragmatic, practical and flexible attitude


Desirable


  • Typing skills typically 50wpm
  • Excellent Report Writing Ability – Advanced formatting.
  • SAP 3 aware
