Your new role

This is a unique opportunity to joining a new team in our growing Service and Maintenance division and to support with the establishment of a new specialist PMO team. We’re now looking for an experienced Project Support professional who can undertake a full range of project management duties in support of the group to join us!

In this exciting new role you will be working as part of the Projects function within the Business Support and Improvement group, the Projects Coordinator will be responsible for ensuring that the necessary project controls are in place to support the successful execution of all major Hitachi Rail Support and Improvement initiatives.


These vary from IT Support or BAU Projects, to major Transformation/Strategic Projects such as component overhaul to reduce component and maintenance lifecycle costs.


You’ll be closely supporting the Business Portfolio Manager who will have overall responsibility for the governance and reporting of all group Projects and Programs.


Specifically, you will be responsible for the following deliverables:

  • Support the Portfolio/Project/Program and Mobilisation Managers in establishing the governance for the projects/programs, ensuring that all project controls, documentation and processes are in place to enable effective monitoring, communication and reporting.
  • Ensure that project management documentation is created and maintained to appropriate standards, including: project plans, management reporting, risk, issue and change logs.
  • Act as custodian of all core project documents.
  • Maintain and improve the Group SharePoint site to facilitate good communication, reporting and standardisation across the group.
  • Establish project meeting governance and facilitate workshops and reviews, including the preparation of necessary inputs and outputs as required.
  • Compilation and coordinate open actions, issues and risks associated with the effective delivery of projects/programs.
  • Facilitate regular lessons learned reviews at key stages of the project lifecycle
  • Prepare project documents including correspondence letters, meeting minutes and presentations, as required.
  • Monitor the status of the Project Deliverables Checklist and ensure requirements are adequately captured and reported as part of the reporting and governance framework.
  • Ensure that all project information is organised and accurately filed in a systematic fashion to enable auditors/inspectors to perform an audit trail through a project's life cycle.
  • Work alongside the Document Control function to roll out best practice for the maintenance of all project documents, including the management of information loaded to and account permissions to HRUK data share sites
  • Collate information for reporting progress of Key Project Activities as and when requested.
  • With the portfolio manager, establish a group KPI regime across all projects/deliverables.
  • Standardise reporting for the group with project packs/templates
  • Support the group with administration, including preparation of key documents/presentations, organising meeting rooms and helping book travel on behalf of.
 
About you
  • In depth understanding of Project and Programme management tools and techniques and their purpose in the programme/project lifecycle.

  • Excellent interpersonal skills to obtain collaboration from key programme stakeholders.
  • Sound prioritisation and organisation skills to deliver to tight time schedules.
  • Skills for managing projects ensuring they meet targets.
  • Strong IT skills: MS Project, Excel, Word, PowerPoint etc.
  • A professional approach.
  • Good standard of written and spoken English.
  • Numerate with experience of working to a high level of accuracy
  • Pro-active, with the ability to work on own initiative and be self-motivated, as managers are often out of the office travelling.
  • Previous experience working for a Global organisation would be an advantage.
  • Flexibility to travel to other Hitachi UK sites as required.

Qualifications

  • Project Management Qualification to degree level or equivalent knowledge gained through experience.
