Job description
Documentation Control

  • Managing correspondence with the Customer, Subcontractors and External Parties involved in the Project
  • Support the Quality Management team in ensuring high quality of the document control process
  • Managing the release, transmission and distribution of Contract Deliverables for Customer review cycles
  • Preparing and distributing minutes of the Weekly Coordination Meeting with Customer
  • Preparing the 5-Week Schedule for the Weekly Coordination Meeting with Customer
  • Maintaining the Project Sharepoint Libraries up-to-date
  • Managing transfer of documents among the ASTS Product Data Management System (Teamcenter) and the Customer's Oracle-Primavera Contract Management System (CMS)
  • Support the Project team in timely resolution of documentation management issues
  • Ensure the execution of all activities aimed to provide each assigned project team with:
• Project reporting on progress
• Project and Contract administration (providing analysis, keeping records...)
• Project document control/ management (management of the project share point)
• Work in progress and accounts payable reporting and analysis
• Supporting the PM with the compilation of periodical project progress reports and payment claims. Prepare the Progress Report Certificates when required
  • Achievement of the objectives of the specific activities assigned as defined in the PDP and Project Management Plan (PMP)
  • Other duties as assigned to support Hitachi Rail Honolulu JV
Required Skills/ Knowledge:
  • Typically a minimum of five years of experience in documentation management and project support
  • Excellent knowledge MS Office package, in particular Word and Excel
  • Documentation management,
  • Activities tracking
  • Must be detail-oriented

Desired Skills/ Knowledge:
  • Experience with Microsoft® Sharepoint
  • Experience with Oracle-Primavera CMS
  • Experience with Siemens PLM Software or similar Product Data Management Systems
  • Experience in working in a multi-cultural team environment for effective project delivery
  • Experience with PowerPoint
  • Excellent communication skills
