Your new role

We are recruiting for a Reception/Administrator to join our team in Bristol at our state of the art Train Maintenance Centre on a permanent basis.


Specifically, you will be responsible for the following:

  • Management of the induction process updating the register, issuing and control of door access passes and the ANPR System

  • Management of the depot stationary, catering and welfare budgets.

  • Support auditee for all audits relating to depot administrative processes.

  • Management of meeting rooms, and catering as required.

  • Lead and support the reception area ensuring the following items:

    • Provision of a professional and efficient reception, ensuring visitors are signed in and complete appropriate documentation

    • Issue passes and visitors badges.
    • Answer all incoming calls, transferring calls to relevant people/departments and take messages as appropriate Update internal telephone directory and issue as required.

  • Collating information and compilation of period reports and presentations as required.

  • Attend meetings as required, taking notes and action points from the meeting, typing up notes and distributing as required.

  • Diary Management for the depot

  • Deal with incoming and outgoing post and arranging of couriers as and when needed.

About you
  • Experience in a reception or administration based role

  • Attention to detail and ownership for the delivery of high quality work.
  • Energetic and pro-active approach both the role and new challenges.
  • Ability to build relationships.
  • Expert IT skills, MS office etc.


  • English & mathematics GCSE level or equivalent

  • Vocational equivalents in administration or business

  • Sound knowledge of, and compliance to, rules and regulations

  • Good written and verbal communication skills
  • Able to represent Hitachi in a professional manner at all times

  • Good team worker
  • First class telephone manner and the ability to greet all visitors to the depot in a professional and friendly manner

  • Pragmatic, practical and flexible attitude

  • Typing skills typically 50wpm
  • Excellent report writing ability.
  • Previous experience SAP.
