Role Overview

We are looking to recruit an Expatriate Payroll Assistant on a 1-year fixed term basis to join our Human Resources team. Reporting to the Global Mobility Team Lead, the key purpose of the role is to provide services to manage the expats payroll and tax compliance for Japanese and European assignees and administer the accurate management of assignee data and record keeping.

The role will be temporarily homebased, with limited travel required, and the individual must be able to confidently communicate both written and orally in Japanese and English.

 

Payroll 

  • Payroll for inbound Japanese expats across Europe - Monthly host country net salary calculation including handling individual allowance applications and responding to daily payroll queries from assignees. This includes having a profound understanding of Hitachi’s International Assignment Policy and cross-checking data against agreed allowance limits.
  • Loan Management - Managing the contributions for Company loans each month from Assignees – creating a loan summary spreadsheet and arranging a deduction from payroll.
  • Payroll for outbound European assignees –applying the home country payroll correctly by liaising with external payroll consultant.
  • Generating monthly accrual report – make monthly salary accrual report and send it to group companies across Europe.

Tax 

  • Share monthly payroll data with external tax consultant to run Modified PAYE scheme correctly.
  • Providing the external tax consultant with new starters/leavers’ information.
  • Providing monthly PAYE information to Finance department and group companies.
  • Co-ordinate year-end adjustment, P11D, tax return for UK inbounds expats (currently for over 200 expats) by liaising with external tax consultant.
  • Co-ordinating the UK–wide business visitors investigation twice per year, going out to major Hitachi Companies (targeting key businesses) requesting data on Business Visitors (volume – likely 200 plus employees)
  • Filing and chasing UK inbound expats’ social security agreement forms
  • Assist branches/group companies across Europe with their inbound Japanese expats tax filing.

Cross Charges 

  • Home Country Salary and Bonus Cross-charge – handling invoices from host country companies in Japan on a monthly basis, arranging a payment by liaising with finance department.
  • PAYE cross charge to group companies on a quarterly basis
  • External tax consultant’s fees cross charges to group companies and Head Quarter in Japan
  • Trainees costs cross charges to home county companies in Japan on a quarterly basis
  • Responding to ad-hoc invoice requests


Qualifications

 

Key Skills and Experience

 

Essential:

  • Strong payroll administration skills
  • Numerate and a high level of attention to detail
  • Must be proficient in Microsoft Excel
  • Excellent planning and prioritising skills, with the ability to manage a variety of issues and work to given deadlines 
  • Excellent organisation and filing skills
  • Strong interpersonal skills, with the confidence to deal with all grades of employees and the ability to deal with confidential issues 
  • Ability to work independently
  • Basic knowledge of UK payroll and UK employee tax fundamentals
  • Good communication skills
  • Ability to work across cultures and countries
  • Japanese and English language: business level

Desirable:

  • Expats payroll and tax work experience is preferable.
  • Degree or equivalent is preferable
