Job description
HITACHI RAIL is looking for an enthusiastic self-motivated Associate Facilities Administrative Manager who thrives in a fast-paced environment. The successful candidate is comfortable performing a wide range of tasks from administrative to strategic. The position is based in Pittsburgh, PA.

  • Responsible for tracking the leases of various facility locations throughout North, South and Central America. This includes rents, payments renewals and property expenses.
  • Maintains and updates lease activities in a database.
  • Ensures accuracy of documents and financial records. Process invoices and maintain /update expense budgets.
  • Maintain records for invoicing of contracted services
  • Maintain hard copy and electronic filing systems for documentation
  • Perform utility usage tracking by monitoring utility invoices
  • Assist the facilities department with various administrative tasks
  • Assist in documentation for HSE (Health, Safety, and Environmental) related activities
  • Place orders for stationary products and equipment
  • Promote/deliver excellent customer service to both Internal Employees and External Visitors.
  • Track monthly utility costs
  • Create pre-purchase requisitions and process invoices.
Required Skills/Knowledge:
  • Bachelor's degree
  • Advanced proficiency with basic computer programs including Microsoft Word, PowerPoint, and Excel, and have good typing skills.
  • Familiar with SAP and Microsoft office applications.
  • Experience with using everyday computer electronic tools (e.g., email, data retrieval, voicemail, and internet/intranet)
  • Demonstrates positive and effective interpersonal and communication skills with colleagues, contractors, and visitors
  • Previous experience with maintaining large office building facility budget
  • Moderate understating of terms and financial analysis relating to lease and facility management functions.
  • Demonstrate attention to detail, follow oral and written instructions precisely, and maintain a high degree of accuracy
  • Demonstrates positive and effective interpersonal and communication skills with colleagues, contractors, and visitors
Desired Skills/ Knowledge:
  • Previous experience with filling out purchase orders, creating pre-purchase requisitions and process invoices.
  • Previous experience with OSHA and Safety Requirements
  • Experience with fleet vehicle administration helpful but not required.
Education: Bachelor's Degree
