Role Overview

Hitachi Europe Ltd are seeking a Business Administration Manager to join the Security Business Group (SBG) at our regional headquarters in Maidenhead. This role will involve providing accurate business data for all of the Security Business Group, directly to the General Manger, as well as administrative duties including processing purchase orders, sales orders and customer invoices. The successful candidate will have responsibility for a variety of business planning activities to support the security business group solutions strategy and program work. The successful candidate must also be fluent in Japanese and English.

Main Tasks and Responsibilities

  • Accounting and Reporting

    • Co-ordinate and manage financial tasks and ensure timely delivery to colleagues based locally and overseas

    • Co-ordinate corporate and financial governance – including both audit (JSOX, JIA) and product governance

    • Support the SBG planning and reporting process, including providing monthly / quarterly management reporting and KPIs for both Japan and local business

    • Co-ordinate with the HEU F&A team for preparation and delivery of financial month end processes and accurate reporting

    • Regularly provide analysis on KPIs and financial performance reports, with support from the HEU F&A team

  • Budgeting and Planning

    • Co-ordinate the annual planning cycle for both HEU and Hitachi Ltd, including extracting and analysing data, and providing solutions

    • Work with the business and cost centre managers to understand budgeting and forecasting needs using the forecasting tool (BPC)

    • Lead monthly operational performance review calls with cost centre heads and their leadership teams

  • Procurement Administration and Supply Chain Management

    • Collaborate with colleagues to perform and execute procurement tasks correctly and lead the identification, monitoring and management of risk profiling across the projects

    • Lead the purchasing function for SBG: create purchasing requisitions, purchase orders, and manage the end to end invoicing process / payment tool for SBG 

    • Perform credit and account receivable tasks including maintaining customer accounts using the tool (NAAS)

    • Manage the SBG financial records and master data to meet strategic and business reporting requirements, including the delegation of authorisation limit table

  • Export Control Administration

    • Ensure Legal compliance and provide import/export administration within government rules and regulations, including appropriate licensing for shipments

    • Carry out MK denial denied party checks on all new customers and vendors

    • Carry out export control checks in NAAS for new customers

    • Maintain product classification List

    • Complete CERD enquiry forms for SBG group once a year

    • Comply with audit requirements

  • General Administration

    • Place orders for products and monitor stock level

    • Half yearly stock counts

    • Tracking of loan agreements and loaned stock

    • Upload invoices to customers’ portal

    • Quarterly processing of royalties for customers

    • Monthly processing of SBG contractor invoices to ITEsoft

    • Log holiday and absence information for contractors in excel sheet

    • Sales and admin teams’ ad-hoc enquires

Key Skills and Experience


Required:

  • Fluent in Japanese and English

  • Experience working for a Japanese organisation

  • Detailed financial knowledge and understanding

  • Strong administrative experience

  • Procurement knowledge and experience

  • Ability to communicate with colleagues across the business

  • High attention to detail and a high level of accuracy

  • An organised, proactive and ‘can do’ approach to work

  • IT and system literate, including MS Office

  • Able to work independently and as part of team

Desirable:

  • Export control experience

  • SAP knowledge
