Your new role

In this exciting permanent HR Administrator role, based out of our Newton Aycliffe depot, you will support the HR Advisors in generalist HR activities including Recruitment, Contracts, Employee Information Systems. The job holder will be expected to rotate and support administration tasks across different focus areas.

Specifically, you will be responsible for the following deliverables:

  • Support with the monthly payroll process including inputting and checking information to the payroll, responding to queries from employees

  • Supporting the recruitment process including arranging up interviews, assessment centres

  • Providing administration support to HR Advisor(s), often working with highly confidential / sensitive personal information

  • Drafting accurate and high quality contract paperwork, offer letters and compiling new hire documentation

  • Supporting the new starter processes e.g. seeking references, inputting applicants into the HiNext HR system, creating files and induction packs

  • Carry out HR inductions for new Rolling Stock employees

  • Tracking new hires to ensure contract paperwork is returned

  • Supporting the probation review process

  • Supporting the leavers process including resignation acknowledgement, arranging exit interviews and paper work returned

  • Setting up appointments for Pre-Employment Medical Examinations

  • Supporting Occupational Health Administration

  • Responsible for the administration of the long service award recognition scheme

  • Create purchase orders and goods receipt tasks in SAP

  • Taking minutes in meetings and writing letters / emails

  • Responding to reference requests

  • Scanning and filing

  • Participating in wider administration tasks and projects as required

  • To be aware of and actively promote and implement Hitachi’s ethos, culture and values.

About you

Essential Requirements

  • Ability to operate in a highly confidential and sensitive manner

  • Highly proficient in the use of Microsoft Office applications including Excel, Word and Powerpoint

  • Experience of writing letters and emails to a high standard

  • Ability to be proactive and work on own initiative

  • Accuracy and attention to detail

  • Good time management skills

  • Strong organizational skills and the ability to multi-task

  • Strives to continually improve processes and procedures

  • Ability to communicate effectively both orally and in writing with people at all levels

  • Commitment to working as part of a team

Desirable Requirements

  • HR Administration experience, ideally Workday or SAP

  • Experience in a manufacturing or engineering environment is preferable


  • 5 GCSE’s or equivalent – English Language Grade C or above
