Role Overview

The aim of this role is to assist and support staff through performing administrative office tasks at the Derby office. This is a part-time position, working between 8 and 12 hours over 4 to 5 days per week.

Main Tasks and Responsibilities

Reporting to the Health, Safety & Environment Manager tasks shall include but not be limited to:

  • Providing day to day support to staff within a hybrid working environment

  • Providing DSE guidance for staff using the office facilities

  • Welcome new starters and provide housekeeping orientation

  • Provide first aid to staff and visitors

  • Liaison with the facilities management team on site to report any faults

  • General office duties

  • Adhering to company policies and processes, including Health and Safety and Fire regulations

Achieving success in the role will be indicated by performance on tasks such as:

  • Ensuring office space is complying with Health and Safety and Fire regulations

  • Daily checks to ensure the facility is free from hazards

  • Fault reporting for facilities services

  • Ordering office supplies i.e., stationary, photocopier supplies, refreshments

  • Liaising with visitors and couriers

  • Induction of new starters including building orientation

  • Updating of the H&S noticeboard with updated business documents

  • Receiving of deliveries, distribute incoming mail

  • Ensure that the office and common areas are in a clean and tidy manner at all times

  • Raise purchase requisitions as required

  • Adherence to the HICSE Business Management System (BMS)

Key Skills and Experience

  • Excellent computer skills including Word and Excel

  • Excellent communication skills and ability to interface with engineers, suppliers & customers

  • Flexible, adaptable, full of enthusiasm and able to work proactively under own initiative

  • Organised and approachable

  • Good attention to detail
