What you'll be doing

The timely and accurate processing of Supplier data, purchasing requisitions management, creation and submission of Purchase Orders to suppliers, managing questions and responses from the business, and other duties as assigned. The role involves promoting Procurement best practices and assisting in purchasing related reporting and the month end process. Train and educate business requestors on policies, processes and procedures. Support of PO requestors in setting up PO requisitions correctly and assist in resolving their issues. Participate in initiative of establishing Purchasing culture across the supported regions. This role will own the "new/modify vendor process" including timely processing of new vendors and vendor updates according to SOX rules and business requirements.

Essential Functions
1. Vendor Master Data and Purchasing
• Validate purchase requisitions against company policy
• Create Purchase Orders in Oracle Purchasing
• Submit Purchase Orders to suppliers
• Resolve supplier PO related queries
• Communicate PO status to requestors
• Handle exceptions
• Resolve queries (internal and external) in a timely and professional manner
• Maintain open PO's in the Oracle Purchasing system
• Track purchase order process
• Promote proactive receipting by purchase requestors
• Promote purchasing best practices to improve process efficiency
• Ad hoc and scheduled reporting to internal and external customers
• Assist in purchasing card administration if required 80% of time
5. Month End
• Assist in month end tasks to finalize the AP module and completing purchasing period 5% of time
6. Reporting
• Ad hoc reporting to internal and external customers 5% of time
7. Assist in wider team duties
• Assist in mail sorting, supplier administration and purchasing card administration if required
• Ensure that Hitachi's core values (Customer Focus, Community, Openness, Ownership and Leadership) are adhered to 5% of time
8. Perform Other Duties as Required
• Actively supports company change programs and acts as a role model for solution selling
• Performs other duties as required.
• Completes all job functions as per department and organization policies and procedures.
• Maintains current knowledge in present areas of responsibility (e.g. attends ongoing educational programs).
• Demonstrates responsibility for scope of position/own standard of practice.
• Demonstrates full knowledge of current position's and department's relationship to flow of Services.
• Demonstrates understanding of knowledge of organizational strategy and objectives 5% of time

What you bring to the team

Essential
• Experience in procurement/buying and master data management
• Ability to interact with stakeholders in multiple languages
• Time management, professionalism, drive and resilience, problem solving, developing people, building relationships, delivering quality service, feedback and learning
• Attention to detail - The role will involve the timely and accurate processing of vendors forms, including bank details, purchase requisitions and purchase orders
• Numerical ability - Especially relevant to vendor master data, bank details
• Problem solving - Query resolution related to a variety of issues is required on a regular basis
• Excellent administrator - The role involves handling, processing and managing a large volume of documentation
Desirable
• Knowledge of Oracle iProcurement, iExpense and Payables
• Experience of working directly with multiple countries and cultures in a finance capacity
• Shared Service Center experience
• Competency in other APAC, Latin America, and European languages

COMPETENCIES REQUIRED
Essential
