General Responsibilities:

The Software Department Administrator is the first point of contact for anything related to project or department budget for the entire software department.  Monitoring, tracking, and reporting specific budget status is the foundation of this role.  Additional responsibilities regarding the operation and maintaining of the department website are the secondary role for this position.

Job Responsibilities:

Includes the following (other duties may be documented and assigned by local management and some duties may not apply dependent upon the requirements of the position at each specific (HIAMS)AM site and/or the strengths of the employee and the needs of the company):

  • Create (or improve on), maintain, and report out on specific Project Budget reports
    • This would include any agreements for Engineering Service Fee from other regions
  • Create (or improve on), maintain, and report out on overall Department Budget reports
  • Department Requisitioner
    • Create purchase requests
    • Issue POs / work with F&A and Procurement to issue POs
    • Authorize invoices for payment
    • Track and monitor all Corporate Approvals (CAs), Purchase Requests, Purchase Orders, and Invoices for all projects
      • This constitutes any and all purchase requests related to the software development for all development projects
    • Track and monitor all Corporate Approvals (CAs), Purchase Requests, Purchase Orders, and Invoices for the Software Service department
      • This is primarily global license fees and yearly software maintenance
    • Track and monitor all Corporate Approvals (CAs), Purchase Requests, Purchase Orders, and Invoices for the entire department
      • Any purchase that does not fall into the project or Software Service department category would go in here
  • Maintain and report out on the Software Maintenance Tracking Sheet
  • Maintain and report out on the Software Equipment Tracking Sheet
  • Create, improve on, maintain, and update the Software Department Website
    • Bit Boss (Employee of the Month) Updates
    • Process & Procedure Updates
    • Training module and documentation updates
  • Software License Administrator
    • Account Creation responsibilities
    • License monitoring and administration

Qualifications:

The Ideal candidate will:

  • Be very proactive
  • Like learning new things and take on new responsibilities
  • Challenge the status quo for the department
  • Able to assist with training and teaching engineers in the department
  • Good verbal and written English skills
  • Experience with MS Office products (Excel, PowerPoint, Project, etc.)
  • Ability to work independently with minimal direction

Education:  High School Diploma, Associates, or Bachelors degree

Experience:  Minimum of 5-7 years experience in a similar role for high school diploma, minimum of 3-5 years for an Associates degree, minimum of 1-3 for a Bachelors degree

Job level determined by various factors such as organization size, responsibility, career stage, and capabilities.

Supervisory Responsibilities:  N/A 

Working conditions:

  • Physical Demands: Required to sit or stand for long periods of time. The employee may occasionally lift and/or move up to 25 pounds.
  • Travel: Domestic and international may be required as needed. The candidate will occasionally need to travel to multiple global locations to support project development.
