Job Description

Your new role

We have an exciting opportunity for an experienced and highly professional Senior Corporate Office Receptionist to join our Real Estate & Physical Security team based at our London Global Head Office.

As the face of Hitachi Rail's global headquarters, you will play a pivotal role in creating an exceptional workplace and visitor experience. Acting as a trusted brand ambassador, you will provide a premium front-of-house service to senior leaders, international visitors, customers, suppliers and colleagues, ensuring every interaction reflects our professionalism and values.

This is far more than a traditional reception role. You will coordinate high-profile visits, support executive meetings and events, maintain security and access processes, and help deliver a seamless workplace experience within a fast-paced corporate environment.

Some key responsibilities

  • Deliver a professional, polished and welcoming reception service to visitors, clients, senior executives and employees.
  • Manage the complete visitor journey, from pre-arrival arrangements through to departure, ensuring a consistently outstanding experience.
  • Coordinate meeting rooms, hospitality, catering, visitor access, AV requirements and executive-level events.
  • Build strong relationships with senior stakeholders, Executive Assistants, external suppliers, building management and service partners.
  • Support site security and access control processes, including visitor management, access passes and compliance activities.
  • Maintain reception and front-of-house facilities to the highest standards, ensuring meeting spaces are presentation-ready at all times.
  • Provide first-line support for workplace and facilities enquiries, escalating issues where appropriate and driving timely resolution.
  • Support health and safety activities including emergency response administration, workplace inspections and audit readiness.
  • Supervise and support reception colleagues, helping maintain procedures, training materials and service standards.
  • Contribute to the continuous improvement of front-of-house and workplace services across the Global Head Office.

About you

We're looking for a confident, proactive and service-driven professional who thrives in a high-profile corporate environment.

You will bring:

  • Significant experience within a corporate reception, front-of-house, client services or hospitality role.
  • A proven track record of supporting senior leaders, executives, clients and international visitors with discretion and professionalism.
  • Strong knowledge of visitor management, access control, confidentiality and corporate security processes.
  • Experience coordinating meetings, hospitality, workplace services and facilities support activities.
  • Excellent communication and interpersonal skills, with the confidence to engage with stakeholders at all levels.
  • Strong organisational skills and the ability to manage multiple priorities while remaining calm under pressure.
  • A keen eye for detail and a proactive approach to identifying and resolving issues before they escalate.
  • Good working knowledge of Microsoft 365 and experience using workplace systems such as visitor management platforms, SAP, CAFM systems or room booking tools.

Experience within a professional services, legal, banking, consultancy or similarly customer-focused corporate environment would be highly advantageous. Additional language skills, particularly Japanese or Italian, would also be beneficial.
